Evolving Data Strategies

Early Data Management

In 2016, Swinburne initiated a significant upgrade to its data management by establishing a data warehouse utilizing Amazon Redshift. This was complemented by the adoption of Tableau for data visualization. However, as the university expanded, the existing data engagement strategy required enhancements.

Anthony Perera, the Chief Data and Analytics Officer at Swinburne, noted that only a small fraction, about five percent, of the university community actively utilized the data platforms. This underutilization prompted a reassessment of the data reporting practices.

Transition to Microsoft Power BI

To address these challenges, in August 2024, Swinburne embarked on migrating its data from Tableau to Microsoft Power BI. This transition involved moving eight years’ worth of crucial reports, covering areas such as student enrollment and financial data, which made up approximately 90% of the data used for institutional reporting.

Several reasons drove this decision:

  • Prior Investment: Swinburne had previously invested in Microsoft technologies, migrating a vast array of applications to Microsoft Azure.
  • AI Capabilities: Power BI’s robust AI features, including the potential of Microsoft Copilot, promised to reduce the time needed for dashboard development.
  • User-Friendly Design: The interface of Power BI was seen as more accessible, encouraging a wider range of staff to create their own dashboards independently.

Completing the data migration in less than 60 days was a notable achievement. Perera highlighted that focusing on the most-widely used reports allowed them to streamline the process, cutting down the workload significantly.

Support from Microsoft

Microsoft played an instrumental role in this transition, offering expert guidance and technical support. Their involvement turned what could have been a typical vendor relationship into a collaborative partnership, ensuring smooth integration.

Positive User Feedback

Since implementing Power BI, users at Swinburne have reported a more intuitive experience when accessing data and generating reports. Early indications suggest that the transition has been beneficial, with staff gradually becoming more engaged with the platform.

Enhancing Data Management with Microsoft Fabric

In conjunction with the Power BI migration, Swinburne transitioned its data management system from Amazon Redshift to Microsoft Fabric. This move aimed to create a more cohesive data management system. The integration allows Swinburne to continue utilizing Redshift while also exploring the benefits of Fabric in their reporting processes.

This modernization is a key part of Swinburne’s overall data strategy, which focuses on developing a next-generation data platform within Azure. Perera emphasized the importance of a structured approach to ensuring the new platform meets evolving needs while boosting operational efficiency.

AI-Powered Initiatives

Swinburne is actively exploring AI applications through collaborations with companies like Agile Insights and KPMG. Two key projects are in development:

  1. Student Feedback Analysis: Using generative AI to analyze a multitude of student survey responses, the university aims to extract dominant themes and sentiments. This will help faculty members enhance course structures based on student feedback.

  2. Streamlined IT Support: A chatbot integrated with Microsoft Teams is being developed to facilitate easier IT support requests directly through Teams, improving accessibility for staff.

Future Vision: A Connected University

Swinburne’s long-term objective is to create a connected educational environment that effectively uses data and AI to improve student outcomes and operational efficiency. A significant component of this vision is to implement a centralized data ecosystem that offers comprehensive insights into each student’s academic journey.

Currently, they have deployed machine learning models to identify students who might be at risk of disengagement, allowing for timely intervention. Additionally, Swinburne plans to personalize the educational experience, similar to platforms like Netflix and YouTube, but tailored for student learning.
